General SummaryThe Return Authorization (RA) and Order Specialist assists both inside sales and outside sales with ensuring all returns are authorized in a timely and efficient manner. The RA Order Specialist is responsible for communicating with all internal and external stakeholders and processing information relative to smooth business operations and transactions. As a member of the Primitives By Kathy Call Center the person in this role will be a part of a fast paced team integral to the overall business success. Principle Accountabilities: Assist sales team with handling return authorization calls and processing return authorizationsEnter orders from the inside sales team, email, fax and OSR's as neededRepresent PBK professionally, responsibly, and passionately to all stakeholdersBack up support for faxesFollow up with customer to obtain credit card numbers for orders, valid email addresses and to verify shipping labels for orders with special requirements Data clean-up projects and ongoing projects such as missing emails, incorrect addresses, and others as definedProcess requests for information, catalogs, samples and proactive mailings and thank you correspondenceBack up to administrative assistant when out of officeAttend meetings & training Outbound calling could be required during heavy engagement campaigns Other responsibilities as requested by manager or his/her designeeSkills & Competencies:Strong interpersonal skills, professionalism, helpfulness, and passion for customer careExcellent English written and verbal communication skills, including phone and internet etiquetteAbility to manage time, prioritize, and shift quickly among various responsibilitiesWillingness to work independently while keeping the greater good of the team a priority Accuracy, thoroughness, attention to detailExcellent team player and contributorAble to create and manipulate data using Excel Able to type a minimum of 40 words per minuteEducation & Experience: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.Computer Proficiency: Microsoft Office Suite (Word, PowerPoint, Excel) OutlookUse a computer, telephone, and other office equipmentBoth talk and type while communicating with a customerCollaborate as part of a team and work with others in person and over the phoneSit for extended periods of time, up to 10 hours per daySit and stand as needed, reach and stoop occasionally Lift up to 30 pounds. Proper lifting technique is required.
